Grants Manager
Margaret A. Cargill Philanthropies

Job Purpose
The Grants Manager will provide grants administration support to the Margaret A. Cargill Philanthropies, which encompasses the three charitable grant making organizations formed by Margaret A. Cargill: Akaloa Resource Foundation, Anne Ray Charitable Trust and the Margaret A. Cargill Foundation. This position will be responsible for ensuring quality and timeliness of all aspects of grants processing and systems management; including structure of grants, and admin system, regulatory compliance, training foundation staff in compliance, internal and external processes, and technology for efficient use of foundation resources.

Job Duties

  • Assist Senior Management in the planning and execution of the grants administration process
  • Review established grant administration polices and procedures and make recommendations for revised practices and oversee documentation thereof
  • Provide clear and concise grants administration policies and procedures for grantees and staff
  • Trains staff on both grants procedures and grants management software
  • Drafts and updates grants management manual
  • Designs, implements, and maintains grants management software structures that follow foundation’s work processes while balancing the needs of program and accounting staff and regulatory compliance; assures consistency and integrity of data
  • Coordinates with information technology to implement additional modules to grants management software
  • Ensures compliance with IRS regulations and foundation requirements for all grants and programs
  • Works with Legal Counsel and Program Leadership to ensure systems provide for standard as well as special terms and conditions in grant award letters, grant agreements and contracts related to grant making
  • Develop uniformity for various aspects of the grant making core process among three foundations, where possible including design of program data to accommodate coordination of effort as desired and development of overall grant reporting for the Foundations
  • Assist with program and management budgets, periodic financial reports and IRS schedules as requested
  • Oversee ongoing grants administration
  • Support the program, research and evaluation staff as needed in analysis of program trends and mining the internal data resources
  • Develops grant related materials (e.g. funding applications and departmental web-sites) that reflect the grant related public information
  • Contributes to and/or coordinates foundation external communications as requested, including the annual report and web-site
  • Provide effective leadership for grant management staff including: recruiting, training and development, assigning and directing work and appraising performance
  • Undertakes special projects as assigned or initiated

Education and Experience

  • A Master’s degree or equivalent combination of educational and work experience
  • 8-10 years in program and/or grants administration
  • Experience with PRI loans and/or expenditure responsibility preferred
  • Strong computer skills with solid working knowledge of Microsoft Office software and at least 5 years experience in GIFTS with excellent database and reporting skills required
  • Highly organized and motivated; ability to prioritize and multi-tasks with little direct supervision
  • Proven analytical skills – translating data into information
  • Quick learner with impeccable attention to detail and demonstrated strong data analysis and writing skills
  • Excellent interpersonal skills; a genuine desire to help others; diplomatic style; attentive listener; ability to interact with people of diverse backgrounds with poise and professionalism

Special Requirements

  • Creative responsiveness for proactive grant management solutions with Senior Management and other foundation departments
  • Detail-oriented with strong organizational skills and able to set priorities and work in a self-directed fashion making optimal use of time
  • Experience in designing a grants management systems and implementing effective workflow processes and procedures
  • Knowledge and application of best practices in grant making
  • Analytical capabilities with accounting procedures and processes for structuring projects
  • Understanding of current IRS regulations related to foundations
  • Knowledge of grants management software and information technology skills
  • Ability to communicate technical, budgetary and program details to staff; demonstrated leadership skills and ability to manage and motivate a team
  • Ability to handle sensitive matters effectively and confidentially; willingness and flexibility to handle issues outside of stated job description when need arises; positive attitude, sense of humor and a commitment to being part of and building an encouraging work environment
