Administrative Assistant III
Requisition # 73396

This position is a full-time position that reports to the Director of the Medtronic Foundation and works closely with the grants administrator and administrative assistant. Assists with the grants management process, provides administrative support, and helps maintain the grants filing system.

Foundation Responsibilities:

  • Data entry/database maintenance
  • Running various reports using grant tracking software
  • Preparation of quarterly grants list for website
  • Follow-up for interim/final reports from grantees
  • Mailing of letters and checks to grantees
  • Verify grantee audit request forms
  • Prepare Federal Express packages
  • Maintains foundation grant files
  • Monitor Medtronic Foundation general in-box
  • Assists Directors and Program Staff to interface with internal operations and procedures
  • Back-up for Grants Administrator and Administrative Assistant as needed
  • Back-up for Corporate Communication phones
  • Assists with mass mailing of foundation annual report and special events
  • Assists with conversion to paperless system
  • Carries out special projects as assigned

Basic Qualifications:

  • High School diploma or equivalent
  • 5+ years administrative experience
  • Extensive knowledge of Word, Excel and PowerPoint

Preferred Qualifications:

  • Extensive knowledge of Word, Excel & Powerpoint
  • Strong organizational skills
  • Strong interpersonal skills
  • Team player
  • Strong work ethic
  • Self-motivated, capable of working independently, multi-tasks
  • Ability to work in dynamic, fast-paced environment
  • Ability to manage multiple tasks under deadlines
  • Attention to detail with high level of accuracy
  • Strong communication skills
  • Diplomatic

Physical Requirements:

  • Environment: Office
  • Mobility/Dexterity: Stand/Sit/Walk - up to 8 hours per day
